This Service Policy applies to services provided by Warm Intelligence Technologies, also operating as Warm IQ, through our website, proposals, invoices, online payment links, and direct client agreements.

1. Services We Provide

  • Warm Intelligence Technologies provides digital and online business services, including website design, website development, SEO, AEO, GEO, PPC management, social media marketing, website maintenance, digital strategy, and related marketing services.
  • The exact services, deliverables, timelines, and pricing will be based on the selected package, proposal, invoice, written agreement, or communication confirmed with the client.
  • Any service not clearly mentioned in the agreed scope of work may be treated as additional work and may require a separate quotation or additional payment.

2. Proposals, Quotes and Service Confirmation

  • All proposals and quotations are prepared based on the information provided by the client.
  • A project or service is considered confirmed once the client approves the proposal, makes payment, signs an agreement, or confirms the service in writing.
  • Any changes requested after approval may affect the timeline, pricing, or scope of work.
  • We reserve the right to revise a quote if the client’s requirements change or if additional work is requested.

3. Client Responsibilities

  • The client is responsible for providing accurate information, content, brand assets, website access, hosting access, platform access, approvals, feedback, and any other materials required to complete the service.
  • Delays in providing required information, access, content, feedback, or approvals may delay the project or monthly service delivery.
  • The client must ensure that any content, images, videos, logos, trademarks, or materials provided to us are legally owned by them or that they have permission to use them.
  • We are not responsible for delays, errors, or legal issues caused by incorrect, incomplete, outdated, or unauthorized materials provided by the client.

4. Service Timelines

  • Service timelines are discussed before the start of the project or service.
  • Timelines may vary depending on project size, technical complexity, content availability, feedback cycles, client approvals, third-party tools, hosting issues, plugin issues, or other factors outside our control.
  • For monthly services such as SEO, AEO, GEO, PPC, social media marketing, and website maintenance, work is performed on an ongoing monthly basis according to the agreed package.
  • For one-time projects such as website design or development, delivery may include planning, design, development, revisions, testing, launch support, and handover, depending on the agreed scope.

5. Revisions and Changes

  • Revisions are provided according to the agreed proposal, package, invoice, or written agreement.
  • Revisions must relate to the original agreed scope of work.
  • Major design changes, additional pages, new features, extra content, advanced integrations, or work outside the original scope may be charged separately.
  • Revision requests should be shared clearly and in writing to avoid delays or confusion.
  • Once a project stage is approved, changes to that stage may require additional time and cost.

6. Payments and Billing

  • Payment terms are mentioned in the proposal, invoice, package, or agreement.
  • Work may begin after advance payment, full payment, or agreed milestone payment is received.
  • For monthly services, payment is due according to the agreed billing cycle.
  • Delayed payments may result in paused work, delayed delivery, suspension of services, or delayed handover.
  • Any bank charges, transaction fees, payment gateway fees, currency conversion charges, or third-party platform fees may be the client’s responsibility unless agreed otherwise.

7. Third-Party Tools and Platforms

  • Some services may require third-party tools, plugins, hosting, domains, themes, software, advertising accounts, analytics tools, CRM platforms, payment gateways, or other external platforms.
  • The cost of third-party tools, subscriptions, licenses, hosting, domains, plugins, advertising budgets, or paid software is not included unless clearly mentioned in the agreed scope.
  • We are not responsible for downtime, errors, policy changes, account restrictions, price changes, bugs, or technical issues caused by third-party platforms.
  • If a third-party platform changes its rules, pricing, features, or access, the project timeline or cost may be affected.

8. Website and Marketing Results

  • We aim to provide professional digital services using reasonable skill, care, and industry practices.
  • However, we do not guarantee specific rankings, traffic, leads, sales, conversions, revenue, ad performance, or business results unless clearly agreed in writing.
  • SEO, AEO, GEO, PPC, and digital marketing performance depends on several factors, including competition, budget, market conditions, website quality, content, user behavior, search engine updates, advertising platforms, and client participation.
  • We may provide recommendations and strategies, but final business results may vary.

9. Access and Security

  • The client may need to provide access to websites, hosting accounts, domain accounts, CMS platforms, advertising accounts, analytics tools, CRM platforms, or other systems.
  • The client is responsible for providing correct access and keeping their own login credentials secure.
  • We recommend using secure access methods, separate user accounts, and limited permissions where possible.
  • We are not responsible for issues caused by access restrictions, incorrect login details, expired accounts, hosting limitations, malware, previous website errors, or third-party security problems.

10. Content and Approvals

  • The client is responsible for reviewing and approving content, designs, pages, campaigns, ads, reports, and deliverables where approval is required.
  •  Once content, design, campaign, or project work is approved by the client, later changes may be treated as additional work.
  • The client is responsible for checking accuracy of business information, pricing, claims, legal text, contact details, and service descriptions before publication.
  • We are not responsible for losses caused by incorrect client-approved information.

11. Ownership and Handover

  • Ownership of final deliverables is transferred to the client after full payment has been received, unless otherwise agreed.
  • Drafts, concepts, strategies, unused designs, internal processes, working files, and rejected ideas may remain the property of Warm Intelligence Technologies unless agreed otherwise.
  • For website projects, handover may include login access, basic guidance, files, or training depending on the agreed scope.
  • We may retain copies of project files, communications, reports, or records for internal business, legal, support, or portfolio purposes.

12. Portfolio and Case Studies

  • Unless the client requests otherwise in writing, we may mention completed work in our portfolio, case studies, website, proposals, or marketing material.
  • We will not share confidential information, login details, private business data, or sensitive client information publicly without permission.
  • If the client does not want their project displayed in our portfolio, they should inform us in writing.

13. Confidentiality

  • We respect client confidentiality and take reasonable steps to protect private business information shared with us.
  • Confidential information may include business plans, login details, client lists, project information, marketing strategies, unpublished content, and internal documents.
  • Confidentiality does not apply to information that is already public, independently developed, required by law, or shared with permission.

14. Suspension or Refusal of Services

  • We may pause, suspend, or refuse services if payment is delayed, required information is not provided, access is not granted, the client becomes unresponsive, or the client violates agreed terms.
  • We may also refuse work that is illegal, harmful, misleading, abusive, fraudulent, or against the policies of third-party platforms.
  • Any completed work before suspension or cancellation remains chargeable.

15. Cancellations and Refunds

  • Cancellations and refunds are handled according to our Cancellations and Return/Refund Policy.
  • Since we provide digital and service-based work, payments for completed work, strategy, research, setup, design, development, marketing work, or monthly services may be non-refundable.
  • Clients should review our Cancellations and Return/Refund Policy before purchasing any service.
