Service Delivery, Complaints, Cancellations and Refund Policy

This policy applies to services provided by Warm Intelligence Technologies, also operating as Warm IQ, through our website, online payment links, invoices, proposals, and direct client engagements.

1. Service Delivery

  • Warm Intelligence Technologies provides digital and online services, including website development, website design, SEO, AEO, GEO, PPC, social media marketing, website maintenance, digital strategy, and related marketing services.
  • Since our services are digital and service-based, no physical shipping is involved.
  • Service timelines are discussed with the client before the start of the project or service. Timelines may vary depending on the scope of work, client requirements, content availability, technical complexity, feedback, approvals, and third-party platform access.
  • For one-time projects such as website design or development, delivery may include planning, design drafts, development work, staging links, revisions, testing, launch support, and final handover, depending on the agreed scope.
  • For monthly services such as SEO, AEO, GEO, PPC, social media marketing, and website maintenance, work is delivered on an ongoing monthly basis according to the agreed service plan.
  • We are not responsible for delays caused by late feedback, missing content, incomplete information, delayed approvals, third-party tools, hosting issues, plugin conflicts, platform restrictions, payment delays, or circumstances outside our reasonable control.

2. Complaints

  • We will make reasonable efforts to respond to complaints or queries within 2 to 5 business days of receipt.
  • When submitting a complaint, please provide complete details, including your name, contact information, invoice number if applicable, service purchased, project details, screenshots, and a clear explanation of the issue.
  • We will review the complaint and may request additional information if needed.
  • If the complaint is valid, we may offer clarification, correction, revision, technical support, service adjustment, or another reasonable solution depending on the nature of the issue and the agreed scope of work.

3. Cancellations

  • Clients may request cancellation of a service or project by contacting us in writing at info@warmiq.agency.
  • For one-time projects, cancellation requests must be made before substantial work has started. Once planning, research, strategy, design, development, setup, implementation, or consultation work has started, the amount paid may be partially or fully non-refundable depending on the work already completed.
  • For monthly services, including SEO, AEO, GEO, PPC management, social media marketing, and website maintenance, clients may cancel their service by giving at least 7 days’ written notice before the next billing cycle.
  • If cancellation is requested after the monthly service period has already started, fees for that active month may not be refundable.
  • Any work completed before cancellation remains chargeable.
  • We reserve the right to cancel, pause, or suspend services if payment is delayed, required information is not provided, the client becomes unresponsive, access is not granted, or the client violates agreed terms.

4. Refund and Exchanges

  • Since we provide digital marketing, web development, consulting, and online business services, returns or exchanges of physical goods do not apply.
  • Payments made for completed services are generally non-refundable.
  • Non-refundable services may include, but are not limited to, consultation, strategy work, audits, research, planning, design work, development work, website setup, SEO work, AEO/GEO work, PPC management, social media work, content planning, reporting, maintenance, and other completed digital services.
  • Refunds may only be considered if:

a. The service has not started.
b. The payment was made in error.
c. A duplicate payment was made.
d. We are unable to provide the agreed service.
e. A refund is mutually agreed in writing.

  • If a refund is approved, it will be processed within 7 to 14 business days through the original payment method where possible.
  • Any payment gateway charges, bank charges, transaction fees, currency conversion fees, or third-party processing fees may be deducted from the refund amount where applicable.
  • For website design or development projects, advance payments or deposits are used to reserve project time and begin planning, communication, design, development, and setup work. These payments may be non-refundable once work has started.
  • For monthly digital marketing services, including SEO, AEO, GEO, PPC, social media marketing, and website maintenance, refunds are not issued for work already performed during the active billing period.
  • If a client is dissatisfied with a service, they should contact us with complete details of the issue. We may offer reasonable revisions, corrections, or support within the agreed scope of work.
  • Any additional work outside the agreed scope may require a separate quotation or additional payment.

5. Revisions and Scope of Work

  • Revisions are provided according to the agreed service package, proposal, invoice, or written agreement.
  • Revision requests must relate to the original agreed scope of work.
  • New features, additional pages, major design changes, extra content, third-party integrations, advanced technical work, or changes outside the original scope may be charged separately.
  • Delays caused by late feedback, missing content, missing access, or delayed approvals may extend the project timeline.

6. Payment Disputes

  • If you believe there is an issue with your payment, invoice, or transaction, please contact us immediately at info@warmiq.agency.
  • Please include your full name, invoice number, payment date, amount paid, and details of the issue.
  • We will review the matter and respond within a reasonable timeframe.
  • If a payment dispute is raised after work has started or services have been delivered, we may provide records of communication, completed work, reports, project activity, files, screenshots, or deliverables as evidence of service delivery.
